User Management Roles in AOS

Role Key Modules Description Access
Administrator System-Wide

This role has the highest level of access within the AOS application.

Users with this role have full access to all setup areas, including the ability to delete (soft) when needed.

This role is designed to be assigned to those users responsible for the entry and creation of key attributes that will act as the foundation for each of the modules in the application.

Ability to update settings for all areas including Avails, Books, Finance, etc.

Ability to create templates for exports.

Ability to Create attributes pertinent to Sales, such as Order Types, Line Classes, (for deal lines), and establishment of price periods.

Ability to create Custom Fields.

Ability to establish Billing terms.

Ability to identify Time Zones.

API Manager System-Wide This role grants requests for proposal system permissions. API User Administration typically uses it.

Within Orders, the ability to create an Order and Order Lines.

Within Avails, the ability to generate views of Avails.

Within Sales, the ability to create Deal Header templates.

User Manager User Management This role is assigned to users responsible for onboarding new users, managing permissions of existing users, and offboarding/terminating users' access.

Ability to create new users and assign appropriate permissions and role(s).

Ability to create new and modify existing role(s).

Ability to create an entrustment, allowing a user to receive the permissions and roles belonging to another users for a set period.

Ability to create and assign teams to a user.

MDM Master Master Data Management (MDM) Users with this role can enter Advertisers, Agencies, and Brands, as well as mange the associations between these entities.

Ability to link (map) Advertiser to appropriate Buying, Selling, and Paying Agencies.

Ability to add and update the contact associated with an Advertiser or Agency.

Ability to assign Teams to an Agency .

Pricing and Planning Ratecard This role is designed for use by those responsible for the creation and management of Ratecards and oversight of Products.

Ability to create entries for Products (sellable content).

Ability to create and update Packages (groups of products).

Ability to manage and load Estimates.

Ability to reconfigure the Ratecard Price Records grid.

Ability to review Deals across all Account Executives.

Account Executive Sales

This role is designed for sales personnel responsible for selling into a select area or network or market and have the responsibility and oversight for their deals only.

Users with this role can create deals and order lines, restricting access and views to only those deals associated with the Account Executive.

This role also provides access to select reports, including Plan, Flowchart, and Sales Revenue for deals associated with the Account Executive and insight into inventory reserves and availability.

Ability to add notes/attachments to own deals.

Ability to read and access products.

Ability to create goals and budgets (based on dollars, IMPS or CPM).

Ability to view Posts for own deals.

Account Manager Sales

This role is for Sales Managers providing users with similar permissions as those with the Account Executive role.

Users with this role can view and update deals, regardless of the Account Executive associated with the deal.

Ability to add both Linear and Digital Products.

Ability to add and edit Discount Profiles allocated to the deals (example: Agency Discount).

Ability to view Ratecards.

Ability to link deals together Ability to view all posts.

Sales Associate Sales

This role is for users responsible for entering deals for multiple Account Executives.

This role has the same permissions as the Account Manager role, except this role does not provide the ability to access posts.

Ability to add notes/attachments to own deals.

Ability to read and access products.

Ability to create goals and budgets (based on dollars, IMPS or CPM)

Trafficker Orders Users assigned this role are responsible for Commercial Operations. They have access to read, update, and push Orders through to their respective Workstreams.

Ability to edit or modify details of an Order Line.

Responsibility for handling incoming revisions from Sales (deals) and managing field-level changes for order lines.

Ability to re-split order lines across Workstreams.

Trafficking Manager Orders Users assigned this role have similar permissions as the Trafficker role.

Ability to edit or modify details of an Order Line.

Responsibility for handling incoming revisions from Sales (deals) and managing field-level changes for order lines.

Ability to re-split order lines across Workstreams.

Ability to assign Workstreams to a Trafficker

Finance Manager Finance

Users assigned this role have full access to all Finance module features, including exporting and locking/unlocking invoices.

Access is granted to pertinent finance-related administrative settings which support the invoicing functionality."

Ability to Read an Update invoices.

Ability to export invoices via email for the download.

Ability to export invoices to an External system via S3 or SFTP.

Ability to unlock and reset invoices, providing the ability to update based on deliver details and sales changes.

Auditor System-Wide Users assigned this role have read-only access to features for SOC compliance and auditing that span across all modules of the AOS application. Ability to read data as well as review pertinent historical modifications throughout the AOS application.

Users with this role do not have an active directory entry.
